SeasonHQ ("we," "us," or "our") is a mobile application operated by ShockWave Labs LLC that helps youth sports teams communicate, manage schedules, and track player development. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.

Information We Collect

We collect the following information when you use SeasonHQ:

• Account information: Email address, password (stored securely via Firebase Authentication), and role (coach, parent, or player).
• Profile information: Name, phone number, profile photo, and role-specific details such as position, jersey number, or player information.
• Athlete profile (optional): Height, weight, throws/bats preference, grad year, primary and secondary positions, school, city, state, and travel-team affiliations.
• Athletic performance data: Per-game and season-aggregated stats (batting, pitching, fielding), achievements, and game participation history. Stats may be submitted by a parent or player and are only published to the official profile after coach approval.
• Team data: Messages sent in team chat, direct messages, schedule events, attendance records, lineup data, and RSVPs.
• Device information: Push notification token to deliver in-app notifications to your device.

How We Use Your Information

• To provide core app functionality: team communication, scheduling, and roster management.
• To send push notifications for team messages, schedule updates, and direct messages.
• To display your profile and information to other members of your team.
• To allow coaches to manage team rosters, approve join requests, and moderate content.

How We Share Your Information

We do not sell your personal information. Your data is shared only within your team:

• Your name and profile photo are visible to other active members of your team.
• Messages you send in team chat are visible to all team members.
• Direct messages are visible only to you and the recipient.
• Attendance, lineup, and schedule data is visible to all active team members.

We use Google Firebase to store data and authenticate users. Firebase is governed by Google's Privacy Policy. We use Expo for push notification delivery.

ProspectHQ Data Export (Optional)

SeasonHQ offers an optional, parent-initiated export of a player's verified athletic profile to ProspectHQ, our recruiting platform operated by the same company. The export is strictly opt-in:

• Only a parent, guardian, or the athlete themselves (if 18+) may initiate the export.
• Only coach-approved content is included: verified stats, verified achievements, and games the player participated in.
• The export uses a one-time, time-limited token (valid for 24 hours) and cannot be initiated by outside parties.
• Unverified draft stats, private team chat messages, direct messages, and attendance records are never included in the export.
• You may revoke a ProspectHQ link at any time by contacting us; the SeasonHQ record remains with the team regardless.

Data Retention

Your data is stored as long as your account exists. Coaches may delete messages or remove members from a team. You may request deletion of your account and associated data by contacting us at the address below.

Children's Privacy

SeasonHQ is designed for use by youth sports teams. Player accounts for minors must be created and managed by a parent or guardian. We do not knowingly collect personal information from children under 13 without verified parental consent. If you believe a child's information has been submitted without consent, please contact us immediately.

Security

We use Firebase Authentication and Firestore Security Rules to protect your data. All data is transmitted over HTTPS. Access to team data is restricted to verified team members approved by a coach.

Your Rights

You may at any time:

• Update your profile information within the app.
• Leave a team from the pending approval screen.
• Request deletion of your account and data by contacting us.

Changes to This Policy

We may update this policy from time to time. We will notify users of significant changes via the app. Continued use of SeasonHQ after changes constitutes acceptance of the updated policy.
